Subj:  PROMULGATION OF THE AUXILIARY FINANCIAL AND MATERIALS CONTROLS STANDARD OPERATING PROCEDURES

1. This ALAUX announces promulgation of reference (a). It supersedes reference (b).

2. Key highlights include:

a. RegFox and Eventzilla, online event registration software applications, are authorized for use (e.g., for District Training events (DTRAINs). RegFox’s in-house payment processors, Webconnex Payments or Custom Payment Processors, are authorized for Auxiliary use with RegFox. The payment processors authorized for use with Eventzilla are its own payment system, PayPal, and Square.

b. Clarification is provided that any compensation or stipend for services as a member of the Auxiliary is an unauthorized expenditure of Auxiliary funds.

c. Clarification is provided that annual dues are received and collected by the Flotilla Staff Officer for Finance (FSO-FN) and in accordance with unit Standing Rules.

d. Clarification is provided that nothing precludes an Auxiliary district or region from prescribing additional routing requirements for the Financial Report and Inventory Record of an Auxiliary Unit (ANSC-7025) form. A complete annual end-of-year form is required of all Auxiliary flotillas, divisions, and districts.

e. New tasks are included in the Appendix D Auxiliary Finance / Materials Audit Checklist to check changes made to the unit budget and associated approvals, reasonable balance between unit income and expenses, and appropriate documentation of such.
